Privacy Policy

About our privacy policy
KLOQ cares deeply about your privacy. We therefore only process the data we need to (improve) our services and handle the information we have collected about you and your use of our services with care. We never make your data available to third parties for commercial purposes.

This privacy policy applies to the use of the website and the services made available on it by KLOQ. These terms come into effect on 27/02/2024, and the publication of a new version will supersede all previous versions. This privacy policy describes what data we collect about you, what this data is used for, and with whom and under what conditions this data may be shared with third parties. We also explain how we store your data, how we protect your data from misuse, and what rights you have regarding the personal data you have provided to us.

If you have questions about our privacy policy, you can contact our privacy contact person; you will find their contact details at the end of our privacy policy.

About data processing
Below you can read how we process your data, where we (have it) stored, what security techniques we use, and who has access to the data.

Webshop software
WooCommerce

Our webshop was developed using WooCommerce software. Personal data that you make available to us for the purpose of our services is shared with this party. WooCommerce has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Under the agreement we have concluded with them, WooCommerce is obliged to take appropriate security measures. These security measures consist of the use of SSL encryption and a strong password policy. WooCommerce uses cookies to collect technical information about your use of the software; no personal data is collected and/or stored. WooCommerce reserves the right to share collected data within its own group to further improve the services.

WooCommerce hosting
Our webshop was developed using WooCommerce software, and we have chosen Vimexx for our web hosting. Personal data that you make available to us for the purpose of our services is shared with this party. Vimexx has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Under the agreement we have concluded with them, Vimexx is obliged to take appropriate security measures. These security measures consist of the use of SSL encryption and a strong password policy. Backups are made regularly to prevent data loss.

Web hosting
Vimexx

We receive web hosting and email services from Vimexx. Vimexx processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of the services. This is not personal data. Vimexx has taken appropriate technical and organizational measures to prevent the loss and unauthorized use of your personal data. Vimexx is obliged to do so under the confidentiality agreement.

Email and mailing lists
MailChimp

We send our email newsletters using MailChimp. MailChimp will never use your name and email address for its own purposes. At the bottom of every email sent automatically via our website, you will see an ‘unsubscribe’ link. You will then no longer receive our newsletter. Your personal data is stored securely by MailChimp. MailChimp uses cookies and other internet technologies to determine whether emails are opened and read. MailChimp reserves the right to use your data to further improve the services and, in that context, to share information with third parties.

Vimexx
We use the services of Vimexx for our regular business email. This party has taken appropriate technical and organizational measures to prevent misuse, loss, and corruption of your and our data as much as possible. Vimexx does not have access to our mailbox, and we treat all our email correspondence confidentially.

Payment processors
Mollie

To process (part of) the payments in our webshop, we use the Mollie platform. Mollie processes your name, address, and city details, as well as your payment details such as your bank account or credit card number. Mollie has taken appropriate technical and organizational measures to protect your personal data. Mollie reserves the right to use your data to further improve the services and, in that context, to share (anonymized) data with third parties. All the safeguards mentioned above regarding the protection of your personal data also apply to the parts of Mollie’s services for which they engage third parties. Mollie does not keep your data longer than is permitted under statutory retention periods.

Reviews
WebwinkelKeur

We collect reviews via the WebwinkelKeur platform. If you leave a review via WebwinkelKeur, you are required to provide a name and email address. WebwinkelKeur shares this data with us so that we can link the review to your order. In some cases, WebwinkelKeur may contact you to provide an explanation of your review. If we invite you to leave a review, we share your name and email address with WebwinkelKeur. They use this data solely for the purpose of inviting you to leave a review. WebwinkelKeur has taken appropriate technical and organizational measures to protect your personal data. WebwinkelKeur reserves the right, for the purpose of providing the services, to engage third parties, and we have given WebwinkelKeur permission to do so. All the safeguards mentioned above regarding the protection of your personal data also apply to the parts of the services for which WebwinkelKeur engages third parties.

Shipping and logistics
PostNL

If you place an order with us, it is our responsibility to have your package delivered to you. We use the services of PostNL to carry out the deliveries. It is therefore necessary for us to share your name, address, and city details with PostNL. PostNL uses this data solely for the purpose of fulfilling the agreement. If PostNL engages subcontractors, PostNL also makes your data available to these parties.

Invoicing and bookkeeping
MoneyBird

For our administration and bookkeeping, we use the services of MoneyBird. We share your name, address, and city details, as well as details regarding your order. This data is used for administering sales invoices. Your personal data is sent and stored securely; MoneyBird has taken the necessary technical and organizational measures to protect your data against loss and unauthorized use. MoneyBird is obliged to maintain confidentiality and will treat your data confidentially. MoneyBird does not use your personal data for any purposes other than those described above.

External sales channels
In addition to offering our collection on our own webshop www.KLOQ.nl, we also offer it on bol.com, vtwonen.nl, and fonq.nl

Purpose of data processing
We use your data solely for the purpose of providing our services. This means that the purpose of the processing always directly relates to the request you have provided. We do not use your data for (targeted) marketing. If you share data with us and we use this data to contact you at a later time—other than at your request—we will explicitly ask for your permission. Your data is not shared with third parties except to comply with accounting and other administrative obligations. All these third parties are bound by confidentiality under the agreement between them and us, or by an oath or legal obligation.

Automatically collected data
Data that is automatically collected by our website is processed for the purpose of further improving our services. This data (for example, your IP address, web browser, and operating system) is not personal data.

Cooperation with tax and criminal investigations
In certain cases, KLOQ may be required by law to share your data in connection with government tax or criminal investigations. In such a case, we will be forced to share your data, but we will oppose this to the extent permitted by law.

Retention periods
We retain your data as long as you are our client. This means that we retain your customer profile until you indicate that you no longer wish to use our services. If you indicate this to us, we will also treat it as a request for erasure. This also means that we do not retain your data for longer than two years from the last point of contact or transaction, unless there is a legal basis for doing so. Due to applicable administrative obligations, we are required to retain invoices containing your (personal) data; we will therefore retain this data for as long as the applicable retention period lasts. However, employees will no longer have access to your client profile and the documents we have created in connection with your request.

Your rights
Under applicable Dutch and European law, you as a data subject have certain rights regarding the personal data that is processed by or on behalf of us. We explain below what these rights are and how you can exercise them. In principle, to prevent misuse, we only send copies and reproductions of your data to your already known email address. If you wish to receive the data at a different email address or, for example, by post, we will ask you to verify your identity. We keep a record of processed requests; in the case of an erasure request, we process anonymized data. You will receive all copies and reproductions of data in the machine-readable data format that we use within our systems. You have the right at all times to file a complaint with the Dutch Data Protection Authority if you suspect that we are using your personal data incorrectly.

Right of access
You always have the right to access the data that we (have) process and which relates to you or can be linked to you. You can make a request to this effect to our privacy contact person. You will then receive a response to your request within 30 days. If your request is granted, we will send a copy of all data to your known email address, along with an overview of the processors who hold this data, stating the category under which we have stored this data.

Right to rectification
You always have the right to have the data that we (have) process and which relates to you or can be linked to you rectified. You can make a request to this effect to our privacy contact person. You will then receive a response to your request within 30 days. If your request is granted, we will send a confirmation to your known email address that the data has been rectified.

Right to restriction of processing
You always have the right to restrict the processing of the data that we (have) process and which relates to you or can be linked to you. You can make a request to this effect to our privacy contact person. You will then receive a response to your request within 30 days. If your request is granted, we will send a confirmation to your known email address that the data will no longer be processed until you lift the restriction.

Right to data portability
You always have the right to have the data that we (have) process and which relates to you or can be linked to you carried out by another party. You can make a request to this effect to our privacy contact person. You will then receive a response to your request within 30 days. If your request is granted, we will send copies or reproductions of all data about you that we have processed, or that other processors or third parties have processed on our behalf, to your known email address. In such a case, we will probably no longer be able to continue providing the services, because the secure linking of data files can no longer be guaranteed.

Right of objection and other rights
In certain cases, you have the right to object to the processing of your personal data by or on behalf of KLOQ. If you object, we will immediately stop processing the data while awaiting the handling of your objection. If your objection is well-founded, we will make copies and/or reproductions of the data that we (have) process available to you and then permanently stop the processing. You also have the right not to be subject to automated individual decision-making or profiling. We do not process your data in such a way that this right applies. If you believe that this is the case, please contact our privacy contact person.

Cookies
Google Analytics

Cookies from the American company Google are placed via our website as part of the “Analytics” service. We use this service to monitor and report on how visitors use the website. This processor may be obliged under applicable laws and regulations to provide access to this data. We collect information about your browsing behavior and share this data with Google. Google can interpret this information in conjunction with other datasets and thus track your movements on the internet. Google uses this information to offer, among other things, targeted advertisements (Adwords) and other Google services and products.

Third-party cookies
If third-party software solutions use cookies, this is stated in this privacy statement.

Changes to the privacy policy
We reserve the right at all times to change our privacy policy. However, you will always find the most recent version on this page. If the new privacy policy has consequences for the way we process already collected data about you, we will inform you by email.
